# Barcodes & QR Codes

> Printable labels that connect a physical asset to its record — safely, even in someone else's hands.

Every asset can be printed as a label with a scannable QR code. Scan it with any phone's default camera — no app required — and it opens a page about that specific asset.

## What the QR code actually points to

This is the part worth understanding before printing a single label: the QR code does **not** link to your dashboard. It links to a **public, no-login page** built specifically to be safe in the hands of a stranger.

That's a deliberate choice, not an oversight. A label on a laptop can end up scanned by anyone — a new employee without a login yet, or someone who's simply found the device sitting somewhere it shouldn't be. A link that demands a login is useless to both of them. So the public page shows only what's genuinely safe to hand to a stranger, with a clear path to sign in for the full record if the person scanning is actually authorized to see it.

    * **The assigned employee's name** — disclosing a specific person's association with company property to an anonymous stranger is a real privacy problem, and a worse one if the device was stolen rather than lost, since it hands an attacker a named target.
    * **Serial number** — often needed for warranty and support claims; publicly exposing it makes it easier for someone with the physical device to impersonate its legitimate owner.
    * **Purchase price, invoice, or AMC details** — internal financial data with no upside to broadcasting it.
    * **Full assignment history** — the same privacy concern as the employee's name, just spread across more people.

## Reporting a found item

The public page includes a **Report Found Item** form — name, a way to reach them, and an optional message. No company email address is ever printed on the page itself, for the same reason none of the excluded fields above are shown: a label that ends up anywhere is still, technically, public.

Submitting the form routes straight to your company's own **asset recovery contact** — a dedicated address you set once in Settings, separate from your billing contact, since whoever handles invoices usually isn't who should field "I found your laptop" emails. If you haven't set one, it falls back to your billing email automatically, so the form always has somewhere to go.

  If an asset's status is **Lost**, the public page shows a more prominent "this item was reported lost" message — a small addition that makes the page genuinely more useful for actual recovery, not just an identity check.

## Printing labels

Select one or many assets — an individual pick, or scoped by location, department, or your whole fleet — and generate a print-ready PDF in one of two formats:

Every label shows the QR code alongside the asset tag and name in plain text — a scan isn't the only way to identify a label; anyone glancing at a shelf can read it directly.

## Downloading a single QR code

From an individual asset's detail page, download just its QR code as a standalone image — useful for anything outside the built-in label printing, like embedding it in an external asset tag template you already use.
